# File information, tags, and validity dates

Maintain knowledge-base material over time, especially policies, product descriptions, and time-limited business rules. Open **File information** in the file preview to inspect and edit its attributes while checking the source content.

## Set tags

Add meaningful tags such as “Product specification,” “Expense policy,” or “Customer contract.” Tags help maintainers find and distinguish material; they do not replace business explanations in the text. Save and reopen file information to verify the update.

## Set or clear a validity date

1. Open the validity-date setting in file information.
2. Choose a date appropriate to the material.
3. Save, reopen, and confirm the date.
4. To remove the restriction, use **Clear validity date** and check again.

Validity dates describe the material's time scope. Test actual questions with the target agent to establish whether expired material is excluded from the relevant retrieval path. A saved date alone does not prove this for every path.

## Check updated material

Submit new material through the available update or import action and wait for processing. Inspect the changed passage in the preview, review chunks, and ask a question that distinguishes old and new rules.

If you retain both versions, describe their applicable periods in the content, names, and semantic rules. Remove material that must no longer be used. A filename such as `product-specification_2026-09.pdf` helps human tracing, but does not by itself guarantee use of the latest definition.
